Spitfire allows you to reply to documents routed to you by email. As long as the system is still waiting for your response, the inbound email updates the original document according to these guidlines.
- The plain text at the top of your reply is added to the route note.
- Files attached to your email are attached to the Spitfire Document, or update previous attachments with the same name.
- The reply is scanned for a response directive - see below
If your email message contains Reply: followed by one of the following directives, the document will be updated accordingly:
- Reply: Accepted or Reply: Approved
[the response code is set to Accepted (code A)]
- Reply: Hold
[the route is marked to expect additional communication and the document is not sent on]
- Reply: Rejected
[the response code is set to Rejected (code R)]
Note: in order to improve fault tolerance, the system accepts various spellings of the directives.
Here is a sample email reply:
I will be able to comply with the updated schedule.
Reply: Accepted

To: you@yourplace.com
Subject: DS000001, Correspondence #0031: Updated material arrival
